End-to-end advisor sourcing, hiring, and onboarding. Prospects upload their own documents through a dedicated portal. U4 amendments and state registrations file directly with FINRA via API. Three months becomes under 30 days.

Recruiting and Onboarding an Advisor Is a Three-Month Project Spread Across Eleven People

The Problem

At a growing RIA, every advisor you bring in becomes a three-month project. The acquisition phase relies on sourcing partners, direct outreach, M&A introductions, and inbound referrals, all tracked across email threads, a CRM that nobody owns, and (at most firms) a color-coded Word document where one person writes in black and another writes in blue. Hot prospects go quiet because nobody saw the email. Term sheets get sent before the right party reviewed them.

Once the LOI is signed, onboarding takes 60 to 90 days and touches every department. U4 amendments and state registrations get filed manually through FINRA web forms. BrokerCheck and IAPD updates have to be reconciled by hand. IT provisioning, custodian portal access, compliance attestations, marketing material review, fee schedule setup, and ACAT preparation all run on separate spreadsheets. Eleven internal stakeholders each maintain a private subset of the new advisor''s data. The Smartsheet that purports to track it is not connected to anything. The new advisor experiences the entire process as a Gmail thread.

The firm that pitches culture and attention to detail starts losing that advantage on day one because the operational experience does not match the pitch.

Acquisition Pipeline & SLA Enforcer

Internal Software

Owns the sourcing process across every channel with enforced SLAs on every prospect interaction

What The Software Does

1

Captures every inbound prospect across direct outreach, sourcing partners, referrals, and M&A introductions

2

Enforces SLAs on every Executive Summary, intro call, and term sheet review

3

Tracks every meeting, document, and review gate across the full sourcing process

4

Promotes signed LOIs into onboarding with zero re-keying of advisor data

Self-Service Advisor Portal

Internal Software

The joining advisor logs in once and uploads every required document and signature

What The Software Does

1

Single upload point for SSN, license, U4 supporting documents, signed agreements, and tax forms

2

Shows real-time milestone status with owners, ETAs, and any open blockers

3

Routes advisor questions to compliance, IT, billing, ops, or HR automatically

4

Generates a personalised first 30 / 60 / 90 day plan and training curriculum

FINRA & State Registration Agent

AI Agent

Files U4 amendments and state registrations directly with the regulators via API

What The AI Does

1

Files U4 amendments directly with FINRA via the regulator API rather than manual web forms

2

Pushes BrokerCheck and IAPD updates as state registrations confirm

3

Cross-references advisor disclosure history to flag any U4 gaps before filing

4

Files state registrations across every required jurisdiction in parallel rather than sequentially

13-Milestone Onboarding Orchestrator

Internal Software

Owns the full onboarding flow with enforced dependencies and per-owner SLAs

What The Software Does

1

Enforces compliance gating (no marketing piece goes live before the attestation lands)

2

Enforces operational gating (no first client communication before U4 confirms state coverage)

3

Routes milestones to the right owner across compliance, IT, billing, trading, marketing, and HR

4

Captures every signed attestation, U4 confirmation, fee schedule, and ACAT into the books and records vault

Head of Ops 30 / 60 / 90 Day Check-Ins

Human Review

Head of operations reviews onboarding status at each check-in and addresses any open blockers

ACTION 1
Approve
ACTION 2
RequestRevision
ACTION 3
LogFeedback

Review Criteria

Are all milestones on schedule against the 30-day target
Is the advisor experience consistent with the firm culture pitch
Are any owners overloaded and at risk of slipping

Expected Impact

Before:

Acquisition runs on email and a Word doc. Onboarding is a 90-day Gmail thread. The newest advisor experiences the firm at its messiest.

After:

Acquisition runs as a structured pipeline with SLAs. The day the LOI signs, onboarding launches with U4 filed via FINRA API, IT provisioning automated, and the advisor seeing every milestone in real time. Three months becomes under 30.

Result:

Advisor acquisition + onboarding cycle compressed from 60 to 90 days down to under 30 days, with U4 amendments and state registrations filed automatically via FINRA API and full self-service document intake
